Event Manager (Public Realm Programme)

The Event Manager (Public Realm Programme) will deliver events and activities across Factory International’s wide-ranging public realm programme: a wide range of events and activities of varying scale that speak to the ideas of today, are relevant to diverse communities and engage the public in new and inventive ways. 

From week to week you would be delivering a diverse programme of events, from quiz nights to poetry slams; from children’s workshops to photography exhibitions; from club nights to live music; from community festivals to weekend takeovers.  The role is varied and you will be mainly working across the public areas of Aviva Studios to deliver exciting and innovative work for our audiences, visitors and communities. 

We are looking for someone who is at a developmental stage in an Event Management career, who can bring creativity to the development and delivery of events in the Public Realm.  They will show skill in liaising with artists, community partners and external suppliers to deliver memorable and distinctive projects, on time and on budget. 

This role sits within the Producing and Programme Department who are the team responsible for the scheduling, planning and delivery of all our activity, from artistic commissions, commercial events and partnership projects.

RESPONSIBILITIES

  • Responsible for working closely with the Public Realm Programme Manager across the day-to-day planning and delivery of assigned events across the Public Realm programme at Aviva Studios
  • Ensuring that project plans, timetables, schedules are formulated for each event based on the event briefs and that all debriefs and event reports are accurately maintained
  • Undertaking professional and timely communications with artists, partners and community groups, delivering an excellent level of customer service including taking concise and accurate briefs and offering creative and technical input and ensuring our partners wish to return to us time and again
  • Effectively monitoring and forecasting event budgets, ensuring that events are delivered to requirements and within allocated budget
  • Ensuring timely financial processing of invoices and recharges and managing project reconciliation at the end of an event
  • Negotiating and drafting letters of agreements
  • Ensuring a clear flow of information across internal teams using internal systems as appropriate in order for departments to plan effectively
  • When needed, additionally supporting other Event Managers on large-scale complex music and commercial events in the large spaces in the building, working as an assistant, associate or deputy as appropriate
     

PERSON SPECIFICATION

ESSENTIAL

  • At least one years’ experience of event management in a professional context
  • An understanding of what it takes to deliver a high-quality event that meets the ambitions it set out to achieve
  • Ability to manage multiple events at different stages of development
  • Good organizational skills with the ability to manage a busy and complex workload whilst remaining calm under pressure
  • Financial literacy, including experience of pulling together costings and quotes and effectively managing budgets
  • Excellent interpersonal and communication skills with the ability to build strong relationships with stakeholders such as artists, communities, partners
  • The ability to both work on own initiative and to lead a project team, to assess complicated situations quickly and to identify ways forward creatively
  • Ability to engage with and use IT systems appropriate to the organisation
  • Commitment to addressing under-representation and increasing inclusion in the arts with a passion to work with people from a wide range of backgrounds

DESIRABLE

  • Experience of event management systems and processes including Artifax and Spektrix
  • Experience of working in wide range of venues/sites and with a range of stakeholders – artists, clients, community groups
  • Enthusiasm for training, mentoring and support of emerging talent
