Main purpose of the job:

To provide administrative support to club staff in line with the charities aims of developing a community based activity programme for children and young people with additional needs.

Contract:  3 or 6 months


  1. Responsible to: The Programme Manager
  2. Responsible for: Administrative support volunteers

Main tasks of the job:

  1. To deliver administrative support to staff of You Can Community Club as directed by the Programme Manager.
  2. Ensure the charity operates effective data collection and filing systems around programmes of activity and projects.
  3. To prepare resources for events, meetings and to provide various secretarial duties during meetings including minute taking.
  4. Offer strong communication with members, parents, partners and funders by answering phone calls, emails and responding to general enquiries.
  5. Electronic data inputting in documents and spreadsheets using Microsoft Office packages.
  6. Strong knowledge of Outlook, Excel and Word is essential
  7. To process and administer day to day finance tasks including invoice processing, petty cash and monthly banking.
  8. The Administration Officer will be expected to carry out various other duties as instructed by the Programme Manager.

The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation.

Person Specification

  • Experience in an administrative role based within an office environment is essential
  • Excellent communication skills verbal, written and presentation skills
  • Adaptable to the changing needs of the business
  • Comfortable multitasking
  • Excellent attention to detail
  • To carry out a range of administrative duties for the Team with limited supervision, which may involve written, telephone or face to face contact with the public or internal colleagues and the application of organisational procedures and systems.
  • High level of IT literacy and proficiency in Microsoft Office programmes essential.
  • In-depth knowledge of administrative procedures and tools required to support a small team, including filing systems and databases
  • It is essential to have good organisational skills and be able to use IT effectively in implementing tasks required to support a small team, including filing systems and databases
  • Experience counting, handling and banking income
