Job Description

ABOUT READ FOUNDATION 

READ Foundation is a UK based registered charity working to create school places for children living in poverty in the developing world.

We create opportunities for orphan and needy children to go to school to gain an education and build a better life for themselves. We do this by renovating old dilapidated schools or constructing entirely new ones from the ground up, as well as offering full scholarships to orphan children and subsidised fees to children from low-income families.

We created our first school in 1994 with a single classroom of 25 children, while as of this academic year we are now running 382 schools, in which 103,790 children study, almost 10% of whom are orphaned by father or both parents. However, with a global shortage of classrooms in the millions, there is still much to do to achieve universal education.

PURPOSE OF JOB

As the Data Coordinator, you will be responsible for providing efficient database and administrative support for all the income that is generated as a result of the various channels used as part of our fundraising strategy. Your role will be to ensure that transactional and donor data is effectively captured, processed and reported using the most efficient means. As such you must be comfortable configuring and maintaining fundraising databases, as well as being able to build complex reporting using tools such as Tableau.

You will have overall responsibility for database management including project management for module implementation, activation of new functionality and upgrades, ensuring the integrity of data and creating processes for checking data quality at both pre and post loading stage. You will play a lead role in devising and implementing policies for capturing data and act as the first point of contact for any queries relating to the database.

MAIN RESPONSIBILITIES 

Fundraising Database (Donorfy)

  • Ensuring Donorfy reflects accurate and up to date income data at any one point in time
  • Managing Donorfy’s synchronisation with external systems that have native integration such as JustGiving, Mailchimp, Eventbrite & Sage Accounts
  • Regularly reconciling income data in Donorfy with bank accounts to ensure accuracy of financial reporting
  • Performing regular data housekeeping checks including de-duplication on new and historical records in Donorfy
  • Designing and implementing procedures for administrative and fundraising staff, as well as volunteers and temp staff, to follow when using Donorfy, whilst ensuring strict compliance with data protection regulation, including the regular audit of such procedures
  • Providing ongoing support and regular training workshops to administrative and fundraising staff in making the best use of Donorfy
  • Ensuring the logging of new Gift Aid declarations in Donorfy follow HMRC regulation, as well as making periodic checks on historical declarations for accuracy and compliance 
  • Monitoring donor communication opt-outs, including email, SMS, telephone and post, to ensure they are swiftly complied with in Donorfy, and any relevant opt-out lists in external communication systems are up-to-date
  • Managing other donor requests, such as donation cancellations, upgrades, complaints and general enquiries, ensuring all communication from and with the donor is logged in Donorfy and available for auditing when required

Donations

  • Bulk processing donation data including website, direct debit, credit card, standing order, bank transfers, external crowdfunding platforms, and CAF (Charities Aid Foundation)
  • Opening and processing donations received via post including cheques and postal orders
  • Managing the processing of donations at charity events, including card payments and direct debit instructions
  • Producing timely donation receipts, thank you letters, and child-sponsor welcome packs and other donor communication 

Reporting (Tableau)

  • Building the management reporting pack for Board of Trustees and Senior Management every month
  • Producing reconciliation reporting for the Accounts Team every month
  • Building and maintaining reporting dashboards showing KPI outputs in real-time
  • Delivering data selections and segments for fundraising & marketing activities
  • Bulk processing of and delivering annual child progress reports to donor sponsors in printed as well as electronic formats
  • Producing quarterly Gift Aid reporting to support claims processing

REQUIREMENTS

Knowledge 

  • Fluency in Donorfy or similar charity fundraising database (i.e. ThankQ, Donorflex, Donor Perfect, Raiser’s Edge, etc).
  • Knowledge of Tableau or Microsoft Power BI.
  • Advanced knowledge of Microsoft Office software, particularly Excel and Word.
  • Experience of Gift Aid administration and claims processing.
  • Practical understanding of database querying.
  • Familiarity with Zapier and APIs in general

Experience 

  • Minimum 5 years’ experience within a charity environment.
  • Working in a multi-disciplinary data coordinating role is essential.
  • Ability to deal with stakeholders of all kinds.
